Guest Users

At a glance

The community member is experiencing an issue where guest users in their Microsoft Teams channels are unable to log in to use Team Forms. The only way for the guest users to access the forms is by opening them in a browser and signing in there. The community member is wondering if there is a permissions setting they are missing.

In the comments, another community member suggests several options to give guest users restricted access to specific forms, such as creating a separate team for external guests, generating a public link to the form, or adding guests to the team and using SharePoint file permissions to restrict access. They also recommend sharing the link that includes the tenant ID to avoid the login issue mentioned by the original poster.

The answer provided summarizes the suggestions from the comments, indicating that the community member should use one of the recommended options to give guest users restricted access to the forms.

I have several channels in teams with each channel having guest users. When the guest users try and use Team Forms it asks them to login but it never logs them in, it just keeps going back to sign in. The only way they can use Team Forms is to open in a browser, sing in there, and choose the correct channel. They have the ability to choose any channel even though they are not assigned to that channel.

Is there a permissions setting that I am missing?

Marked as solution

By default, channels in Microsoft Teams are available to all members of the team. The exception to this is private channels which is not currently supported by Team Froms.

In your scenario I would use one of the following options to give guest users restricted access to specific forms:

  1. Create a separate team for external guests and house external form within that team

  2. Generate a public link to your form and share that link with your guests

  3. Add guess to your team but use SharePoint file permission to restrict which forms the user has access to.

As a side note when sharing forms with external users you should copy and share the link that include your tenant Id to avoid any login issue you mentioned. This can be copied following the steps below.
