How to Send a Copy of Response to the Form Submitter?

At a glance

The community member is new to Team Forms and wants to know if it's possible to send a copy of a form response to the form submitter. The comments explain that the answer depends on whether the form is accessed through a public URL or by an internal team member:

For public URL responders, the community member needs to add an email component to the form to allow the user to manually provide their email address. Then, they can use dynamic content in the email notifications to send a copy of the response to the email address provided.

For team member responders, Team Forms can automatically determine the email address of the responder, and by default, they should receive a copy of their response via email. The community member can check and enable this in the email tab for the form.

I'm fairly new to Team Forms. Is it possible to send a copy of a response to the form submitter? If so, how? Note: I use the Email feature to send responses to appropriate staff members.

The answer to your question would depend on if the user responding to the form is an internal team member or an external user accessing the form via a public link. I have covered both scenarios below:

Public URL Responder

Assuming the people accessing your form are doing so through a public URL, this means that they are accessing the form anonymously and there is no way for Team Forms to automatically determine their email address. Therefor to send a copy of the response to a public user you will need to use the steps below:

  1. Add a email component into your form to allow the user to manually provide their email address. This will be the email address that we send a copy to in later steps.

  2. Navigate to the email notifications tab and in the To: (or CC:) field type the forward slash characters (/) to see a menu of Dynamic content that can be used in your email. From the menu select the Email field we added in step 1. Dynamic content allows you to dynamically construct emails that contain information filled out in the form itself.

Team Member Responder

If the person responding to your form is an internal team member (accessing the form via the Team Members link) then Team Forms can automatically determine the email address of the responder. By default they should receive a copy of their response via email. You can check/enable this using the steps below:

  1. Navigate to the email tab for the form

  2. In the To: (or CC:) fields type the forward slash character (/) to see a menu of Dynamic content that can be used in your email. Select the "Responder Email" field.
